1. Who is responsible

Luxury Lane Car Rental (Private) Limited is responsible for deciding why and how the personal information described here is processed. We aim to process information fairly, for specific purposes and with appropriate security in accordance with applicable Zimbabwean data-protection law.

2. Information we collect

Depending on the service, we may collect your name, contact details, address, identification, driving-licence details, age or date of birth, booking reference, itinerary, flight details, passenger and luggage requirements, authorised-driver information, payment records, communications, consent records, vehicle inspection and incident information. Our website may also receive IP address, browser, device, security-log and cookie-preference information.

3. How we obtain information

We receive information directly from you, an authorised traveller or corporate client; through website forms, telephone, WhatsApp, email or in person; from payment providers and insurers; from lawful identity, licence or fraud checks; and from travel or service partners involved in a booking. If you provide another person’s information, you should be authorised to do so and tell them about this Policy.

4. Why we use it

We use information to answer enquiries; prepare quotations; verify eligibility; create and administer bookings; provide rentals, transfers, chauffeurs and tours; communicate service changes; handle payments, deposits, incidents, claims and complaints; protect customers, vehicles and systems; maintain accounting and legal records; improve service; and send marketing only where permitted. We do not sell personal information.

5. Lawful grounds

Processing may be necessary to take steps requested before a contract or perform a contract; comply with legal obligations; pursue legitimate interests such as service administration, security, fraud prevention and business improvement; protect vital interests in an emergency; or act on consent where consent is the appropriate basis. Consent can be withdrawn for future optional processing without affecting earlier lawful processing.

6. Sharing and service providers

We disclose only what is reasonably necessary to authorised staff and service providers such as hosting, communications, payment, accounting, insurance, recovery and IT-security providers; vehicle owners or operational partners where applicable; hotels, guides, venues or activity providers included in an itinerary; professional advisers; and regulators, police, courts or other authorities where required or lawfully justified. Providers are expected to protect information and use it only for the agreed purpose.

7. International services

Some communications, cloud, travel or payment providers may process information outside Zimbabwe. Where this occurs, Luxury Lane will consider the destination, provider safeguards and the necessity of the transfer, and use reasonable contractual or technical safeguards appropriate to the information and applicable law.

8. Retention

Enquiries that do not become bookings are ordinarily retained for up to 24 months, unless a shorter period is requested or a longer period is needed for a dispute or security purpose. Booking, payment, incident, accounting and legal records may be retained for the period required by applicable law and legitimate claims. Expired records are deleted, anonymised or securely archived with restricted access.

9. Security

We use role-based administrator access, password hashing, encrypted HTTPS connections, restricted database access, upload validation, security logging and backups. No transmission or storage system is completely risk-free. If a breach creates a material risk, Luxury Lane will investigate, limit harm and notify affected people or the appropriate authority where required.

10. Your choices and rights

Subject to applicable law and identity verification, you may ask whether we hold your information; request access, correction or deletion; object to or restrict certain processing; withdraw consent; and complain about how information is handled. Some information must be retained for contracts, safety, legal duties or claims. We will explain when a request cannot be fulfilled in full.

11. Children

Our rental services are not directed to children acting independently. Passenger information about a minor should be supplied by a parent, guardian or authorised organiser and limited to what is necessary for safe service delivery.

12. Marketing and automated decisions

We may send relevant offers where you have opted in or where otherwise permitted, and every direct-marketing message should provide a way to stop future messages. Luxury Lane does not use the website to make solely automated decisions that produce legal or similarly significant effects.

13. Policy changes

We may update this Policy when services, providers or legal requirements change. The effective date will be revised, and a prominent notice may be provided for material changes. Previous booking records remain governed by applicable law and the notices in effect when collected.
